Below are some frequently asked questions regarding the OCAST funding process.
| 1. How do I know if my proposal was awarded funding? |

| The OSTRaD Board meets a few times each year to review and make an approval decision regarding proposals that have been recommended for funding. Soon after the meeting the PI will receive a letter from OCAST notifying him/her of the funding decision. |

| 2. I have been awarded for funding of my proposal. Now what? |

| The PI received a letter from the OCAST contracts compliance officer regarding the selection of the proposal for funding. Included in that letter are a couple of documents that must be completed by the PI and an official from the applicant organization. These documents must be sent to OCAST, along with any other documentation that may have been requested in the award letter, before the research project can begin. In some cases, there will be requests for specific information to be provided to OCAST. This information must be made available to OCAST before a contract can be executed. |

| 3. When can I begin work on my research project? |

| Once all required documentation is received by OCAST, the contracts compliance officer will generate a contract for the first year of the proposed research project. This contract must be fully executed (signed by both the applicant organization(s) and OCAST) before any work should be started. This contract outlines the manner in which payment will be made, explains reporting requirements on the part of the contractor and PI and outlines any specific restrictions regarding the contract budget. OCAST will create contract documents for any subsequent year of the project at the end of the prior year and only after certain reporting requirements have been met. |

| 4. What reports are required under my research contract? |

| The PI is required to submit a progress report no later than 60 days before the end of each contract period, except for the final year of funding. For the final funding period, a progress report must be submitted to OCAST no later than 30 days after the ending date of the contract. There is a different set of instructions for each type of award (Health, OARS, Intern, etc.). |

| 5. What happens to my progress report after I submit it to OCAST? |

| OCAST sends the progress report to an external reviewer for evaluation. The reviewer is likely one of the persons who evaluated the original research proposal at the funding competition. The reviewer will compare the stated accomplishments from the progress report to the research aims in the original proposal to determine if satisfactory progress has been made. Continued funding of the research project is contingent upon a satisfactory performance evaluation that verifies that the PI is complying with the terms of the contract and achieving project objectives. |

| 6. How does OCAST pay me for my research? |

| All research contracts funded by OCAST are paid on a cost reimbursement basis. It will be necessary for the contracting organization to complete and submit an OCAST Request for Payment Form in order to be reimbursed for costs directly related to the research project. Requests for reimbursement may be submitted on a schedule convenient to the contracting organization- weekly, biweekly, monthly, quarterly, etc. |

| 7. What if I began working on the project before the contract start date? |

| Any expenses incurred prior to the start date of a research contract will not be reimbursed by OCAST. Subsequently, any expenses incurred after the end of the contract period will not be reimbursed by OCAST. |

| 8. What do I do if my budget needs change during the contract year? |

| OCAST allows for flexibility in the originally approved budget. We recognize that unforeseen needs may arise, or other budget changes may occur after the budget was approved at the onset of the project. To account for any such changes, OCAST allows the contracting organization to make cumulative changes to budget line items in an amount up to 25% of the originally approved contract budget. A Budget Modification Request Form must be completed and submitted for line item changes to the contract budget greater than 25% of the approved amount. | 9. Can other changes be made to a contract after it is executed? |

| There may be times when the PI becomes unable to complete the research project, the contract may need to be extended beyond the original end date or the contracting organization may need to change the source of matching funds. OCAST allows for the possibility of such changes occurring throughout the duration of the research project. The contracting organization must complete a Contract Modification Request Form to formally request such changes. | 10. When are the Requests for Payment due to OCAST? |

| The contracting organization may elect to submit payment requests as frequently or infrequently as desired. However, there are two caveats: 1) all requests for payments, except the final one, must be submitted to OCAST during the contract period, and 2) the final payment request must be submitted to OCAST no later than 90 days beyond the end of the contract period. Any reimbursement request received at OCAST later than 90 days beyond the contract end date will not be paid. The Request for Payment Form can be found at www.ok.gov/ocast. | 11. What other requirements must be met? |

If funded under the Health Research program, the PI will be required to attend and present a poster at the annual Oklahoma Health Research Conference. This conference is usually held during the month of April. The PI must attend this conference once per contract year. So, if awarded a three-year health research project, he/she must attend the conference each of the three years you are funded. OCAST will provide notification to each PI who must attend an upcoming Oklahoma Health Research Conference.
If funded under the R&D Intern Partnerships program, the PI and associated interns must attend and present a poster at the annual Oklahoma Research Day. This conference is usually held during the month of October. The PI must attend this conference once per contract year. So, if awarded a two-year health research project, he/she must attend the conference each of the two years you are funded. OCAST will provide notification to each PI who must attend an upcoming Oklahoma Research Day.
